Resize your photo and signature for online application forms

Application forms are strict about photos and signatures: a specific width and height in pixels, a maximum (and sometimes minimum) size in KB, and JPG format. Get any of them wrong and the upload is rejected — usually with an unhelpful error. Here is how to get both right the first time.

Read the three numbers in your form

Look for the dimensions (for example 200 × 230 pixels, or 3.5 × 4.5 cm), the file size range (for example 20–50 KB), and the format (almost always JPG/JPEG). Dimensions and file size are different things: dimensions are how many pixels the image has, and file size is how much storage it takes. You usually need to hit both.

Taking a photo that passes

• Stand in front of a plain white or light wall, facing the camera, with even light on your face.
• Keep your face centred with some space above your head — the resizer crops from the centre.
• Use a recent photo without filters, heavy shadows or sunglasses.

Getting a clean signature

• Sign with a dark pen on plain white paper, a little larger than usual.
• Photograph it from directly above in daylight, then crop so the signature fills the frame.
• Turn on “boost contrast” in the signature resizer — it whitens the paper and darkens the ink so the result is crisp even at 10–20 KB.

Common reasons uploads fail

• Uploading a PNG or HEIC when the form wants JPG. iPhone photos are often HEIC — convert them with HEIC to JPG first.
• File just over the limit because the portal counts 1 KB as 1,000 bytes — aim a few KB under.
• A photo that is too small in KB when a minimum is set. Choose a larger pixel size, or raise the maximum KB slightly so the quality is higher.
